Start here — did the member buy?

Every appointment gets resulted in CENTAH the same day — the only question is which path.

Yes → Sale

Quote the lead, then Sell the lead. Selling triggers the email from Costco that sends the member to the Member Payment Portal.

No → No Sale

Quote the lead anyway — same day, no exceptions — then record what happened in Lead Notes.

Both paths start the same way: log in → Dashboard → open the lead → fix any member info → Quote Lead. They only split at the last step.

The standing rule — notes on every single contact

Every single time you contact, or attempt to contact, any Costco member, you must enter the notes. No exceptions. And remember: Costco has access to these notes — keep every note professional.

Path 1

Resulting a Sale

Quote the lead, sell the lead — and CENTAH tells Costco to collect the member's payment.

What you do

  1. Log in and open the lead from the Dashboard
  2. Correct member info if anything is wrong
  3. Quote the lead — same day, tax 0, Shop Card 10%
  4. Sell the lead — work dates 90+ days out, all four payment boxes filled
  5. Costco emails the member to pay in the Member Payment Portal

1. Log in and open the lead

Log in at costcous.centah.com. Click the Dashboard button along the top, then click the member's Lead # on the left of the screen — it's the blue link that opens the lead.

2. Fix any member info while you're in the lead

If anything in the lead needs correcting — email address, member number, phone number, spelling — fix it here. Type the correction into the box and click Update Member Information on the left, about midway down the page.

A wrong email here means the member never gets the payment email — check it before you move on.

3. Quote the lead — the day you quote it

A lead must be quoted in CENTAH before it can be sold. Click Quote Lead on the right side, about three-quarters down the page — this opens the Quote Lead page.

  • Quote day = today. The quote goes into CENTAH the day you do it.
  • Sales tax = 0 — and you need to actually enter the 0.
  • Shop Card = 10% of the quote amount.

Then click the Quote Lead button.

NO EXCEPTIONS: the quote is entered in CENTAH the same day you quote the member.
There are exceptions to the 10% Shop Card amount — they require additional training. If you think you have one, ask before you enter it.

4. Sell the lead

Click Sell Lead on the right side, about three-quarters down the page — this opens the Sell Lead page.

  • Sub Total and Total Amount auto-populate with the quote amount. If the actual sale amount is different, adjust it.
  • Sales tax = 0.
  • Work Start and Work End dates: pick a date 90 or more days out.
  • Shop Card = 10% of the total (same additional-training exceptions apply).
  • All four payment boxes must have a value, even if it's 0: Third-Party Financing, Check, Costco Shop Card, and Credit/Debit Card. Fill them out accordingly.

When done, click Submit Sold Details.

5. Costco takes it from here — the member pays in the portal

What happens behind the scenes: the moment you submit sold details, Costco emails the member prompting them to enter their payment information in the Member Payment Portal.
The member must have a Costco.com account to use the payment portal. If they don't have one, they'll need to set one up — tell them that at the table so the email doesn't stall them.

Resulting a No Sale

No sale doesn't mean no result — the quote still goes in the same day, and the story goes in the notes.

What you do

  1. Log in and open the lead from the Dashboard
  2. Correct member info if anything is wrong
  3. Quote the lead — same day, tax 0, Shop Card 10%
  4. Enter your appointment notes in Lead Notes and save

1. Open the lead and quote it — exactly like a sale

The first steps are identical to the Sale path: log in at costcous.centah.com, click Dashboard, click the blue Lead # link, and correct any member info with Update Member Information.

Then quote the lead: Quote Lead button on the right, quote day = today, sales tax = 0 (enter the 0), Shop Card = 10% of the quote amount, click Quote Lead.

NO EXCEPTIONS: the quote goes into CENTAH the day you do it — even when the member doesn't buy.

2. Enter your appointment notes

Now record what happened: how it went, how likely they are — or aren't — to buy, and anything pertinent. Scroll to the bottom of the lead to the Lead Notes section. Click into the text box at the bottom of the section and type your note. When you're done, click Save Lead Notes.

What happens behind the scenes: CENTAH time- and date-stamps the note and assigns it to you.
Costco has access to these notes. Keep it professional — every note reads like Costco is reading it, because they can.

3. And every contact after this one

EVERY SINGLE TIME you contact, or attempt to contact, any Costco member — enter the notes. NO EXCEPTIONS. Calls, voicemails, texts, follow-ups, no-answers: if you reached out, it goes in Lead Notes.
